Job Description

Hitachi Rail is looking for an enthusiastic self-motivated Project Assistant who thrives in a fast-paced environment. The successful candidate is comfortable performing a wide range of tasks from administrative to strategic. The position is based in Panama City, Panama.

Accountabilities

To be successful in this role, you should have a keen eye for detail and be fluent in at least one language in addition to your native language.

Skills/knowledge:


  • Recording information as needed.
  • Greeting clients and visitors as needed.
  • Updating paperwork, maintaining documents, and word processing.
  • Helping organize and maintain office common areas and managing office supplies.
  • Performing general office clerk duties and errands.
  • Organizing travel by booking accommodation and reservation needs as required.
  • Coordinating events as necessary.
  • Aiding with client reception as needed.
  • Experience as a virtual assistant.
  • Creating, maintaining, and entering information into databases.
  • Update of Project Charts (Organizational, Project Board, etc).
  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage executives’ calendars and set up meetings.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Take minutes during meetings.
  • Prepare formal letters to customer and suppliers using inputs from project stakeholders.
  • Prepare and maintain database for managing notifications, claims, and all relevant topics to the customer and suppliers.
  • Handling confidential information.


Strong Microsoft Office skills

Required Experience:

Holds a Bachelor’s Degree in English, translation or related.
